How to host an event

Days leading up to the event:
• Confirm the date and time with the performer
• Confirm stream information with the performer. Will you be using their stream or the venues?
• Are there posters up advertising the event?
• Is the SL event listing done?

Hours before the event:
• Do a walk through of the venue. Do you have everything needed for the performance? Props such as microphones? Dance machines?
• Is there an event before yours? Contact the other host and agree how the hand off of the stream will be done. Will you change the stream or the other host?

15-30 minutes before the event:
• Send out group Notices for the event
• Open up IM windows with: your performer, the host who precedes you, any greeters or other people working with you.
• Confirm with the performer and host before you when the stream switch will occur (on the hour?)
• Ask the performer if they need a TP or an LM
• Ask the performer if they have the stream information readily accessible.
• Open the web page for the stream
• Open the Statistics bar

5 minutes before the event:
• Announce to the crowd that your performer will be starting in 5 minutes
• Chat with the crowd, confirm that the greeters are doing so as well

Start of the event:
• Switch the stream as arranged with the performer and other host
• Thank the previous performer for supporting the charity
• Announce your performer to the crowd
• Suggest that guests might want to restart their players

During the event:
• Camera back and watch for problems
• Cheer as appropriate and express encouragement
• Encourage donations or tips (depending on venue type)
• Listen to the stream for trouble
• IM performer when the sound level is too low or there are other sound issues
• Thank people who make donations or give tips
• Sign new visitors up for the group, or have a greeter doing so
• Report In house numbers if this is part of your venue’s practices.

End of the event:
• Switch the stream, either for the next performer as arranged with that host, or to the venue’s default stream
• Thank the performer publically and via IM, both
• Thank the attendees and people who donated money or tipped
• Keep an eye on the venue while the next host gets his or her performer started
